Process for application for structures

1. Apply to the Allotment Association in writing – email is fine using info@exmouthallotments.co.uk. Make sure you have read the rules on structures in Section 11 of the Exmouth and District Allotment Association. A plan of your plot where the structure will be located and it needs to include other structures already on your plot. It can be hand drawn or use graphics as long as it can be clearly interpreted. All measurements of structures need to be listed either on the sketch or in your application. You will have been sent a copy of the rules with your Tenancy Agreement or they can be found on the website.

2. Before it is considered by the Committee for approval you must peg out the area and location the structure will cover. Contact the Association or Chair and they will arrange for the plot to be inspected by a member of the Committee to ensure it meets the criteria and to prevent any delays and problems of it being put on site without meeting the rules for structures. You will need to be there. This will confirm that the application will meet the criteria or if adjustments are needed and this will be discussed with you at the time.

3. Hopefully this will ensure you get your permission. If granted you will be informed of this decision within 1 week. We keep a record of the application along with the decision of the Committee being recorded in the minutes.

4. We keep a record of the application along with the decision of the Committee being recorded formally. This can include emails, sketches and photographs.

5. There will be a time frame of 4 months for putting the structure on site.

6. The time frame can be extended if it is requested with reasons for the delay and this will if accepted to up 6 months maximum in total including the original first 4 months.

7. Once the time frame has passed the structure will be inspected.

8. If the structure is put up without permission or does not meet the required rules there is a potential that it could place your tenancy at risk.
